RepVisit is a field-force management app for medical representatives. To provide it, we collect:

• Account information: name, email address, phone number, employer/organization, role, and authentication credentials.
• Doctor & client records: data you enter about doctors and clients you visit — name, specialty, hospital, area, address, category (e.g. A / B / C), phone, and email.
• Visit data: scheduled visits, check-in and check-out times, visit duration, visit notes, ratings, and outcomes.
• Location data: when you check in or out of a visit, we collect your device's location to attach it to the visit record. Location is collected only while you actively use visit features.
• Day Status data: the start and end times of your work day inside the app.
• Device & usage data: device type, OS version, app version, IP address, language, and basic interaction events (screens viewed, actions performed) for security and product improvement.
• Communications: messages you send to our sales or support team.

2. How We Use Information

We use the information we collect to:

• Provide core features: visit scheduling, GPS check-in / check-out, doctor records, visit tracking, and daily reports.
• Authenticate users and secure accounts.
• Display your day status, progress, and visit history.
• Generate daily, weekly, and monthly reports for you and your organization's managers.
• Improve the Service, fix bugs, and monitor performance.
• Respond to support requests and communicate important updates.
• Detect, prevent, and address abuse, fraud, or security issues.
• Comply with legal obligations.

3. Legal Basis for Processing

Where applicable (for example, under GDPR), we process personal data based on your consent, performance of a contract with you or your organization, our legitimate interests in operating the Service, and compliance with legal obligations.

We do not sell your personal data. We may share information with:

• Your organization: if RepVisit is provided to you by your employer, your managers and administrators can access your visit activity, schedules, reports, and check-in locations as part of normal field-force management.
• Service providers: trusted vendors who help us host, operate, and support the Service under confidentiality and data-protection obligations.
• Legal authorities: where required by law, regulation, or valid legal process.
• Business transfers: as part of a merger, acquisition, or sale of assets, with appropriate safeguards.

5. Location Data

Location data is central to GPS check-ins. You can disable location at the operating-system level at any time, but doing so will prevent visit check-ins from being location-stamped and may limit other map-based features. We do not track your location in the background when you are not actively using the Service.

We implement technical and organizational measures designed to protect your information, including encryption in transit, access controls, and regular reviews of our practices. No system is 100% secure, but we work continuously to keep your data safe.

7. Data Retention

We retain personal data and visit records for as long as necessary to provide the Service, meet your organization's reporting needs, comply with legal obligations, resolve disputes, and enforce our agreements. When you or your organization stop using RepVisit, we delete or anonymize personal data within a reasonable period, unless retention is required by law.

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Request correction or deletion of your data.
• Object to or restrict certain processing activities.
• Request a portable copy of your data.
• Withdraw consent, where processing is based on consent.
